Assignment Proposals
As its name suggests, is intended for recording suggestions / pre-agenda / agenda proposals - either on the initiative of the journalists themselves or external communication channels, such as: messages coming from Facebook, website (from the broadcaster), e-mail, WhatsApp and others.
Here is an example of the this menu:
Creating Assignment Proposals
To create an assignment proposal, just click on the ‘New’ option (in the upper right corner). A form will open to fill in the information below. I.E.:
· Slug: Title of the suggested assignment. This is the only required item.
· Source: Where the idea for the topic came from - it may have come via email, WhatsApp, Facebook, websites, informal conversations or from the journalist himself.
· Lead: Short summary on the topic. In this case, you can use the lead technique [a term used to answer the following questions: what, who, when, where and why.] - making the central idea of the agenda suggestion simpler.
· Address: Place an address / support link to the topic, or to refer to the original topic.
· Information: you must enter information on the topic. Such as: if you become assignment, what would be the referral? It could also suggest possible angles, or even previously obtained information.
· Contacts: allows selection or addition of contacts. You can search the ‘Agenda’ or add a new source. This option is used to add possible interviewees who can talk about the topic (experts, characters, etc.).
To search for a contact, simply click ‘+ Select contact’ and enter the name or additional information that has been entered
In the example on the next page, the profession of the source we wanted to search for was inserted and the system brought the available options.
When selecting the desired contact, the information is expanded. Note that on the right side there is the option to 'Edit'. In this case, it is possible to change or update the contact information. If you want to link the contact to the suggestion, click ‘Select’. To withdraw from the action, click ‘Cancel’.
Note: you can add more than one contact per assignment.
Another way to add a contact is through the ‘New’ option. Upon clicking, the form will open to fill in the contact information that will be registered prior the insertion on the assignment.
Name: enter the first and last name of the contact you want to register. Mandatory item;
Profession: enter the profession of the source;
Company: write the name of the company the source works for;
Address: enter an address - it can be the contact's workplace, or their home;
Groups: select which group that contact belongs to;
Emails: add as many emails as needed;
Phones: Several entries are supported here(cell, fax, home, business, etc.);
Information: write extra features about the source - physical, personal, specializations and other information that can identify it;
Save contact in the phone book: by checking this option, this contact will be automatically saved in the list of the ‘Phonebook’ menu. If the option is deselected, the contact will be saved only in the assignment proposals.
With the exception of the name, all other fields on the form are optional, but it is interesting that they are completed, as there is a mechanism that allows the search for keywords.
After filling in the information, click ‘Save’ to add the contact and ‘Cancel’ if you give up the action.
For more information on how to manage contacts, see the ‘Calendar` menu.
After filling in all the fields above, just click on ‘Save’ to register the new agenda suggestion. If you want to withdraw from the action, click ‘Cancel’
Note: when the agenda suggestion is imported from the ‘Agency’ area, some fields are automatically filled in (header, source, address and information).
After saving the agenda suggestion, it will be available on the main page. When selecting it, a few options will appear. I.E.:
Preview: allows you to view the content of the document. When clicking on ‘View’, the system will open a window on the right corner. It will be possible to see all the content and edit, if necessary.
Edit: When you click on ‘Edit’, the form will appear for changes to be made. After making the necessary changes, click ‘Save’ to apply and ‘Cancel’ to abandon the action.
Print: when clicking on 'Print', the system will open a new tab with a PDF file containing the information entered in the suggestion. You can print more than one suggestion on the same page, just select them.
Exclude: when selecting this option, the file is excluded. Once deleted, it cannot be recovered. A confirmation message will be displayed. Click ‘Yes’ to confirm the deletion and ‘No’ to give up.
Send to: in this case, it is possible to send the suggestion to the ‘Assignments’ area or to the ‘Publications’ menu. In this way, all information contained in the document will be copied.
- Clicking on Send to Assignments, a window will appear to select the date (the agenda will be created) and the Program.
Note: if you have not yet selected which program the agenda will go to, it is recommended that it be placed in the 'General Drawer'.
After filling in the fields, hit on ‘Create’! The content will be sent and the message 'Agenda "Assignments" has been created' will appear and the status will change to “Used”, indicating that the suggestion has become an agenda. Check it in the 'Assignments' menu.
To cancel the creation, click ‘Cancel’
- By clicking on 'Send to Publications', the system will send the information contained in the suggestion to the ‘Publications’ menu. A message will appear confirming: “Publication [SLUG] has been created". Check the ‘Publications’ menu.
Note: when an agenda suggestion is being edited, the system blocks it and does not allow other users to make changes. To let them know that the document is open, the status of "Blocked" is shown.
After a few entries were created, the preview of the suggestions will be available on "Pages”. The most recent being shown first. If you want to search for old entries, you can filter by start / end date and / or boom.
